10. Amazon & Order Data

We pull order information from Amazon to feed into our ERP and Fulfillment systems in order to process them further. Customer Name, Address and Phone number are required to be able to ship the orders to customers. Data is retained to support shipping and any potential returns. This means that it is retained for 30 days after the shipment. None of the customer data pulled from Amazon for fulfillment is stored locally within the organization. Access to data is cloud based and controlled via role based security. Logins are secured with multi-factor authentication as well as IP restrictions.  All sensitive data is encrpyted at rest. We use enterprise-class anti-virus software to continuously monitor our SaaS environment and prevent, detect and remove malicious viruses and other types of malware, such as Trojan horses, worms, fraud tools, spyware, browser hijackers, keyloggers, and more. Our security includes a multi-featured intrusion detection system that uses AI to continually monitor our ERP platform and related environments for suspicious activity. Our intrusion detection system (IDS) detects any attempt to compromise the confidentiality, integrity or availability of your data, or to circumvent security controls. In the event of such an attempt, the intruder is locked out of the system, and investigation is conducted to identify and apprehend the intruder. Access to our ERP is strictly controlled via user credentials and these requirements affect all user accounts, both internal and external. Users must change the password on the next login after the account is set up. Force users to change passwords every 90 days.. Passwords are encrypted and stored in the database. Passwords must meet complexity requirements: must have at least three of the following features: lowercase letters, uppercase letters, special symbols, and digits. Passwords should have minimal length of 12 characters. Tokens and credentials used to access 3rd party services including Amazon are setup as encrypted data fields. Once a field is marked as encrypted it cannot be seen at the DB level as well. Our ERP is PCI compliant in addition to maintaining SOC 1 and SOC 2 compliance. Any items identified via vulnerability scans and penetration tests are logged into the internal development management application, JIRA, and each issue taken up on a priority and released to the community via a new build.
